Getting started

How do I sign up?

Sarabellum is invite-only while it’s in beta. Request access and we’ll be in touch as spots open — or if you already have an invite code, you can use it the moment you sign in. Once you’re in, there’s no form to fill: you sign in with Google, and the account is created the first time you do. No password to invent, no onboarding survey.

The app opens and everything is collapsed. Is that broken?

That’s the design. Sarabellum opens calm — every section closed, one line from Sara pinned at the top — and you open what you need. A home screen that shows everything at once is a home screen you flinch away from. Click any section header to open it.

Where do I start?

Open Brain Dump and empty your head into it. Don’t organise, don’t categorise, don’t think about buckets — just type. That’s the whole first session. Come back later and turn it into tasks, or ask Sara to do it with you.

How do I take the tour again?

There’s a “Take the tour” link in the footer inside the app. It walks the whole thing and you can run it as many times as you like.

Tasks & buckets

What are the buckets, and which do I use?

Right Now, Today, Tomorrow, This Week, Next Week, Backlog, Someday and Projects. A task lives in exactly one. Rule of thumb: if it isn’t genuinely today’s problem, it isn’t in Today. Backlog and Someday exist precisely so you can put things down without deleting them.

How do I focus on one thing?

Move a task into Right Now — it’s a single-task slot, not a bucket. Whatever was already in there gets moved back to Today automatically, so there’s never more than one thing in focus. Then start the timer.

What does the 🌶️ chilli do?

It marks heat — how intense or costly a task feels, from 0 to 3. It is visual only: it does not sort your list, reorder anything, or nag you. It’s there so you can see at a glance what a task will take out of you.

How do I reorder tasks?

Drag them. Order within a bucket is manual and it stays exactly where you put it — nothing re-sorts itself behind your back.

I didn’t finish today’s list. What now?

Hit → Push to Tomorrow. It clears whatever’s left in one tap so you wake up to an empty list and choose the day deliberately, instead of opening the app to yesterday’s pile. Nothing is lost and nothing is late.

I deleted something by accident.

Most things archive rather than delete, and archived items can be restored. Raw text especially is never thrown away without asking. If something has genuinely gone, get in touch quickly and it may be recoverable.

The focus timer

How does the reverse pomodoro work?

You work as long as it’s flowing. The longer you focus, the longer the break you earn — scaling up to a three-hour deep session before it wraps you up. It’s the opposite of a normal pomodoro, which interrupts you at 25 minutes whether or not you’d finally got into it.

Can I set a 25-minute timer instead?

No — the timer is deliberately opinionated in the other direction. You can end a session whenever you want; the point is that the app never ends it for you.

I refreshed the page mid-session. Did I lose it?

No. The in-progress timer is kept in your browser, so a refresh picks up where you were and Right Now reopens on its own.

Can Sara start a session for me?

Yes — that’s one of the nicest things she does. Ask her what to work on, agree on something, and she’ll promote it and start the timer herself.

What can Sara actually do?

She reads a live snapshot of your tasks, brain dumps, habits and check-ins, and can add, edit, move, complete and archive things. She’ll only delete something if you explicitly ask. She can run your focus timer, and she remembers you between sessions.

How do I know she really did what she said?

Every tool she runs leaves a receipt chip (⚙) in the chat. If she claims an action and ran no tools, the app flags it. Never take her word for it — check the receipts, that’s what they’re for.

She says she’s doing something but nothing happened.

Look for the ⚙ receipt. No receipt means no action, whatever she said — she’s an AI and they do that. Ask her again, more directly, and tell us if it keeps happening, because that’s a bug worth knowing about.

Can I use Sarabellum without Sara?

Completely. Ignore her and everything else works exactly the same. Nothing in the app depends on her.

Does Sara see my journal?

She reads a snapshot of your system to be useful. If there’s something you’d rather she never saw, don’t put it where she’s looking. Full detail on Privacy.

Falling behind

I’ve not opened it in three weeks and I’m scared to.

Open it. Nothing is red, nothing has been counting, no streak has died, and nobody is disappointed. That is the entire design and this exact moment is what it was designed for. If the list still feels like too much, run Clean Slate and start from calm.

What does Clean Slate actually do?

It sweeps everything into a holding pen in one move. Nothing is deleted — restoring lets you give each thing a new home with fresh eyes, which matters, because a task from three weeks ago probably doesn’t belong where it was.

How is that different from archiving?

A normal archive puts something back where it came from. A sweep assumes you’ve changed — so restoring asks where it should go now. After a bad fortnight, that’s the right question.

Account & data

How do I change my email or password?

Both live with Google, not with us — Sarabellum has no password field at all. Change them in your Google account and sign in again.

How do I export or delete my data?

Ask, on the contact form or the form on Privacy, and it’s handled directly by a person. No retention games, no “are you sure?” carousel.

Is my data backed up?

Honestly: not as well as it should be. Improving that is active, named work — see Security, where we say so plainly. Please don’t make Sarabellum the only copy of something irreplaceable.

Can I use it on my phone?

Yes. It runs in any mobile browser and you can add it to your home screen so it opens like an app — see Download. There’s no App Store version yet.
